# Administrator Functions

Abstract

Product: **The Metrics Dashboard**

### When to create visualizations in the Visualization Library or the Manage Dashboards view

- Create a visualization in the **Visualization Library** if you plan to subscribe multiple personas to the visualization. This saves time instead of creating the same visualization for each persona.
- Create a visualization in the **Manage Dashboards** view if this visualization is applicable for one persona. Visualizations that are created in the Manage Dashboards view cannot be sent to other persona dashboards.

### Visualization Library

The Visualization Library is a workspace where users with the User Type Privilege **Metrics Dashboard Admin**enabled. can manage visualizations. They can create, edit, or delete visualizations and share them on the other visualization dashboards, for example Recruiter, Manager, or Administrator Dashboard. Editing a visualization in the Visualization Library automatically cascades the changes to its persona workspace counterparts.

#### Send a Visualization to any persona workspace

1. In the Metrics Dashboard, create the visualization in the Visualization Library. For information on creating a visualization, see [Example Visualizations](/v1/docs/example-visualizations).
2. Select **Manage Subscriptions.**
3. Select **the personas** to send the visualization to, and select **Update**.
4. The visualization shows on that persona’s **Manage Dashboard** view and on the **My Dashboard Library** view of that persona’s users.

#### Remove a Visualization from a Persona Group

1. In the Metrics Dashboard, for an existing visualization in the **Visualization Library,** select **Manage Subscriptions.**
2. Clear **the personas** to remove the visualization from, and select **Update**.
3. Select **OK**.
4. If a user is subscribed to that visualization from the **My Dashboard Library,** the visualization becomes a stand-alone version on their **My Metrics Dashboard**workspace after it has been removed from the **Visualization Library.**

#### Delete a Visualization from the Visualization Library

Deleting a Visualization from the Visualization Library makes its **My Dashboard Library** workspace counterpart a stand-alone visualization. This action does not delete it from the **My Dashboard Library** workspace.

1. In the Metrics Dashboard, for an existing visualization in the Visualization Library, select Actions → Delete.
2. Select **OK**to delete the visualization or **Cancel**to leave the visualization.
3. This deletes the visualization from the **Visualization Library.** Its subscribed counterpart within the **Manage Persona Dashboard** becomes a stand-alone visualization unless the visualization was removed from the persona group.

### Manage Dashboards

The Manage Dashboards workspaces are only visible to **Admin**users. Each persona dashboard can be managed individually by the users with the User Type Privilege**Metrics Dashboard Admin**enabled. Visualizations added in this workspace are not available in the Visualizations library workspace and are private for that persona.

- Deleting a visualization from the individual dashboard workspaces deletes the visualization from the workspace and makes all its subscribed **My Metrics Dashboard**counterparts stand-alone visualizations. This action does not delete it from the user’s**My Metrics Dashboard.**
- When a visualization is created in the **Visualization Library**and subscribed to a persona dashboard, then edited by an Admin user in the **Manage Dashboards** for the persona, the visualization in the **Manage Dashboards** view is unlinked from the **Visualization Library** visualization.
- When visualizations are edited by an Admin user at the persona level after the user has edited the same visualization on the My Metrics Dashboard the updated versions available icon is shown. **Restore from Default** button is shown on the **My Dashboard**view and **Remove from My Dashboard, Overwrite,** and **Unsubscribe**buttons are shown on the My Persona **Dashboard**view.

#### Visualization Library link to My Dashboard Library:

- Admins create visualizations within the**Visualization Library** and subscribe them to the different persona groups. Subscribing to a visualization from the **Visualization Library**creates a link between the My Dashboard Library visualization the **Visualization Library** counterpart.
- If an Admin edits a visualization in the **My Dashboard Library** that was pulled from the **Visualization Library,** it is disconnected from its **Visualization Library**counterpart, making the visualization a stand-alone visualization.

#### My Dashboard Library link to My Metrics Dashboard

- Subscribing to a visualization from the **My Dashboard Library**creates a link between the user visualization and the **My Dashboard Library**counterpart.
- Editing a visualization on the **My Metrics Dashboard** that was pulled from the **My Dashboard Library** keeps its source visualization link and updates the time stamp.
