Adding, Editing, and Viewing answers to Pre-Qualifying Questions

  • Pre-qualifying or pre-screening questions are questions to ask candidates when they apply to your job on the [Talent Gateway].

  • Questions can be scored so that individuals within your organization are notified by email when a candidate meets or exceeds a target score.

  • You might be able to search for candidates based on their score to pre-qualifying questions. If so, the [Talent Gateway Score] appears as an option when editing your Search and Output fields.

  • If a req is uncanceled, or removed from On Hold, the previously attached [Gateway Questionnaire] is reattached to the req when the req is reposted. The [Gateway Questionnaire] can be removed or replaced if needed.

  • There is an [Assessment Minimum] field when editing pre-qualifying question.

    • Assessments can be created in Infinite Assess, or a third-party tool, and then selected on the Posting Options screen.

    • The assessment only starts if the candidate meets, or exceeds, the Assessment Minimum value with their responses to the pre-qualifying questions.

    • If your organization does not have an assessment integration, then this field has no impact on the application process.

    • If your organization does have an assessment integration, then this score must be greater than 0 for the assessment to start for candidates to complete.

Process

Adding and Editing Pre-Qualifying Questions

  1. From the posting screen, select the arrow next to the [Talent Gateway] to which you want to add site questions.

  2. Select Edit Site Options. The [Gateway site questions] window opens.

  3. Select Available Questions → Filter icon to access available questions.

  4. Select questions to ask the candidates when they submit their resumes or CVs and drag them to the selected questions.

    • To reorder questions, drag the question to the appropriate location.

  5. If available, enter a value in the Score field per question for Required for HR Status Update. If the question is essential for updating the candidate’s HR Status, use this field along with the HR Status Update Meets/Exceeds Minimum and Question Required Score and Below Minimum or Question Required Score settings.

    • The Meets/Exceeds Minimum and Question Required Score pull-down menu displays HR Statuses of [Start] status type and any HR statuses configured in the tracking logic to [Show Status at 0-Filed].

    • The Below Minimum or Question Required Score pull-down menu displays HR Statuses of [Final] status type and any HR statuses configured in the tracking logic to [Show Status at 0-Filed].

  6. The Baseline Highest Possible Score automatically populates

  7. Optionally, enter a value for the Target Score in the [Preferred Candidate] section.

    • Select users or non-system users to Notify the following users when a candidate meets or exceeds target.

  8. Optionally, enter Minimum Score value for in the [HR Status Update] section.

    • Select an HR status from the Question Required Score field by using the pull-down menu.

    • Select an HR status from the Below Minimum OR Question Required Score field by using the pull-down menu.

    • This setting overrides the instafile HR status. Candidates are updated to this selected HR status if they meet the Minimum Score and every Required For HR Status Updatescore that has been set at the question level selected. If a candidate meets the minimum score but does not meet all the question-specific required scores, they are classified as Below Minimum.

  9. Select Copy to Other Gateways to add the same questions and scoring to other selected Talent Gateways.

  10. Select Save.

  11. Select OK.

  12. Continue posting the req as needed.

Viewing Responses to Pre-Qualifying Questions

  1. While viewing the candidate’s Talent Record, select Forms.

  2. Select Job Response Form with the appropriate req number in the title. The questions asked of the candidates and their responses display.
