Abstract

Enabling Candidate Data Purge
The Candidate Data Purge tool is controlled by Workbench client settings and the Purge BrassRing user privileges. When the Candidate Purge client settings are enabled, BrassRing Administrators can then configure the user type privileges.
Note
If a candidate is purged from the system, BrassRing does not re-use the candidate reference number again.
Client Settings
The following client settings must be enabled for Candidate Data Purge. Only Infinite representatives can be enabled by client settings. Contact your Infinite representative to enable these settings.

Event Manager
Client who wants to purge candidates from Event Manager must enable the BrassRing Workbench Candidate Purge - include Event Manager setting.
Selecting this setting includes candidates in Event Manager who meet the purge selection criteria.
The candidate purge utility selects candidates that meet the purge criteria in Event Manager and performs these tasks:
Deletes candidate from all events (scheduled candidates).
Deletes candidate elinks that are displayed in the Talent Gateway.
Deletes candidate history.
Deletes emails that are sent to the candidate.
Deletes candidate from pool (unscheduled candidates).
Note
Candidates who are in Data Insight Tool (DIT) are purged when the DIT transformation occurs after the purge is completed on the live database.

Workbench Configuration - Partial Purge
In the Candidate Form field attribute for form fields being auto-filled, the source field needs to be flagged as purgeable by selecting Yes for the Purge field data via partial purge? option. This purges data in all related autofill fields.
Talent Gateway - Self Delete Setting
The Talent Gateways can be configured to allow candidates to elect to have their profile and data deleted from the organization’s BrassRing system. To configure this setting in either legacy or responsive Talent Gateways, select Enabled for the Talent Gateway Candidate self-delete
To allow candidates to self-delete their profile data from the organization's BrassRing system, in Workbench, select Tools → Talent Gateways.
Select the Edit icon for the Talent Gateway.
Select Candidate self-delete → Enabled.
Select Save.
Enabling Candidate Purge
To enable the Candidate Purge user type privileges, select Tools → Users → User Types.
Select the Edit Type permissions pencil icon for the User Type you want to edit.
Select Purge.
Enable the following privileges:
Create candidate purge
Create candidate purge/partial purge report
Create partial purge
Schedule processes queue
Select Done.
Select Save.
