Candidate facing and Internal Forms

Candidate Facing Event Forms are presented to candidates during registration. Users can customize text fields on these forms and then set the forms to automatically generate when a candidate registers. For example, if a candidate registers for a phone event, you can request their primary and alternate phone numbers during registration.

Process

Configure Candidate Facing Forms

  1. In Event Manager, select Admin → System → General.

  2. Select enable Candidate Facing Event Forms.

  3. In BrassRing Workbench, access Tools → Forms → Candidate Forms.

  4. Create the candidate forms you want to use as candidate facing forms, and enable the Candidate Facing Event Forms attribute Event Manager Candidate Facing Form on the candidate form. Enabling this attribute automatically adds two form fields to the form that are automatically populated from the Database Field Names, EM_Phone_Number and EM_Alternate_Phone, in the candidate's record. You can edit the form display labels for these fields or delete them from the form. Do not change the Database Fieldnames at any time.

    For example, if you are inviting a candidate to a luncheon and want to screen for dietary restrictions, you could use one of the Candidate Facing Form fields to request dietary restriction information. In this example, dietary information is more pertinent than phone numbers.

  5. In Event Manager, select Admin → List Maintenance → Registration Pages.

  6. Select the Candidate Response Form by using the pull-down menu.

  7. Select Save.

  8. Select Admin → Templates → Event Templates.

  9. Select the Registration page by using the pull-down menu. This links the candidate response form to the event.

  10. Select Save to save the new template setting.

Configure Internal Forms

  1. In Event Manager, select Admin → System → General.

  2. Select enable Candidate Facing Event Forms.

  3. In BrassRing Workbench, create the internal facing forms you want to use as internal facing forms, and ensure the Event Manager Internal Event Facing Form attribute is set to Yes to enable the Internal Event Form. This automatically adds four form fields to the form, candidate name, event name, event date, and time slot start time. In BrassRing Workbench, you can only edit these four internal facing form field's labels. For example, you can change the Time Slot Start label to Interview Time. These four automatically created form fields cannot be deleted.

  4. Optionally, add additional form fields to the internal event form. For example, if you are using the internal event form in conjunction with an assessment process, you can create new form fields which enable the assessor to record a candidate's performance during an event assessment. Manually created form fields are not auto-populated but are completed by event assessors.

  5. In Event Manager, select Admin → Templates → Event Templates.

  6. Open the event template and select the Internal Candidate Form by using pull-down menu.

  7. Select Save.
