eLinking Candidates

  • You can use eLinks to send resumes, CVs, or forms to hiring managers by email. Without logging on to BrassRing, hiring managers might be able to:

    • View resumes or CVs sent to them.

    • Complete a blank form that was sent to them.

    • Review an already completed form that was sent to them.

    • Send comments back to the sender by using email.

    • Review any included attachments, such as the PDF of the candidate’s resume or CV.

  • Your company might configure eLinks to be sent as attachments, rather than embedded in the text of the email.

  • When eLinking a candidate from within the req folder, the resume or CV corresponding to the specific req submission is sent by default. If an eLink is sent from search results, My Candidates, the Inbox, or Working folders, the most recent resume or CV is sent.

  • BrassRing automatically records the recipient’s name and the date the eLink was sent, viewed by the recipient, and responded to by the recipient in the eLink history on a Candidates Talent Record. The recipient’s response and capturing the hiring manager’s comments might also be automatically recorded if your company has configured this feature.

  • The sender of the eLink receives a confirmation of receipt email and an email with the recipient’s response to the eLink.

  • If sent by the BrassRing user, notes are visible based on the User type settings of the recipient (Quick Start User type).

  • If your company opted to enable the eLink CC or BCC feature, then you might copy or blind carbon copy recipients. Copied recipients receive an email that contains a summary of the original eLink details.

  • You can send an eLink when viewing a resume or CV anywhere within BrassRing on Cloud.

  • You might need to disable a pop-up blocker to view PDFs.

  • If your company opted to enable the PDF to be the default when an eLink recipient opens an eLink, that image would display, as opposed to the text version of the resume or the overview of the resume data. In addition, the PDF only displays where the most recent resume or CV was submitted by using the Upload option.

  • When a recipient selects an option in the Request the following section, the sender receives an email with that information. The candidate’s HR status is not updated.

  • Updated Build 19.08.19. If an eLink is expired and the user selects it, the user sees the message We’re sorry; the link to this page is no longer valid.

  • Updated Build 19.11.11. The Include User signature setting adds the user's signature to the eLink message that is sent to a candidate. This setting is available only when the Workbench Client setting User Signature is set to Yes. Only Infinite Representatives can enable client settings. To enable the setting, contact your Infinite Representative.

Process

Send an eLink

  1. From a list of candidates, select a candidate or candidates, and select Actions → eLink.

  2. Insert the From email address if needed.

  3. Insert the recipients of the eLink.

  4. Insert the Content of the eLink, including the Subject, Message, and Forms to complete, any Forms to view, and any Attachments.

  5. If needed, select Notify me when these forms have been submitted to be sent an email notification when any Forms to complete are completed.

  6. If needed use the checkboxes to include any HR status, Document subsidiary forms , and Req information.

  7. Updated Build 19.11.11. If needed, select Include User Signature to add the users' signatures to the message that is sent.

  8. Select Send to send the message, or Cancel to cancel the message.

  9. Build 21.01.20. The Send eLink screen allows users to select a communication template from a drop-down menu. The eLink message text box is replaced with CK editor. The selected communication template can be edited and previewed by the user before they send it out. If the client chooses not to select a communication template, they can add merge tokens and messages by using the CK editor that is now available in the screen. In addition, users can add attachments from the local device or the candidate's Talent Record. Users must add the merge token add talent record elinks in the communication template. This is mandatory for the template to appear in the eLink screen drop-down.

Note

Helpful Logic Tip: If a communication template is selected, the candidate name will not be visible in the communication unless the Add Talent Record eLinks are added. If no communication template is selected, by default our system communication will populate the candidate name.

Review and Respond to eLinks

  1. Open the email message and select candidate name hyperlink.

  2. The eLink opens your web browser. Select the Overview, Text resume/CV, PDF resume/CV, Forms, Notes , or HR Status tabs to access the information that the sender included.

  3. To complete a blank form or view a completed form, select Forms. Select the form name to either view or complete the forms sent. When you complete a form, the information is automatically updated in BrassRing on Cloud.

  4. When you reviewed the eLink, either close the window as you normally would, or select Respond to send comments back to the sender by using email.

  5. If available, suggest the next step from the Request pull-down menu. The selection that is made here does not update the HR status in BrassRing, as this is the recruiter's role within BrassRing.

  6. To add a message, type it in the Note text field and, if available and when appropriate, select Save this text as a note to add the text as a note in the candidates' Talent Record.

  7. Select Send.
