Article summary

Starting the September'23 release, we updated our system with the revised version of the I9 form.

The U.S. Citizenship and Immigration Services (uscis.gov) has announced revisions to the I-9 form that comes into effect from Tue, 01st Aug.

This new version contains updates to the previous form, and it is essential for all employers to implement the updated form before November 1st.

Please note that effective September maintenance only the new version of the I9 form will be available for use.

Below are the changes mandated by USCIS and how they are accommodated in the Onboard tool:

  • Moves the Section 1 Preparer/Translator Certification area to a separate, standalone supplement that employers can provide to employees when necessary;

  • Moves Section 3, Reverification and Rehire, to a standalone supplement that employers can print if or when rehire occurs or reverification is required;

  • Revises the Lists of Acceptable Documents page to include some acceptable receipts as well as guidance and links to information on automatic extensions of employment authorization documentation;

  • Reduces Form instructions from 15 pages to 8 pages; and

  • Includes a checkbox allowing employers to indicate they examined Form I-9 documentation remotely under a DHS-authorized alternative procedure rather than via physical examination.

I-9 Section 1

  1. Reduced number of Prepares to 4 in Step 1.

  2. A new field 'Middle Initial' is added for each preparer in Step 1.

  3. Instructional text change in Citizenship Status and Employment(Step 4).

    1. Updated Citizenship status text: “I attest, under penalty of perjury, that this information, including my selection of the box attesting to my citizenship or immigration status, is true and correct.”

    2. "An alien authorized to work in the U.S." updated to “A noncitizen authorized to work in the U.S.”

I-9 Section 2

  1. Documents Verification Type updated to Checkbox “Check here if you used an alternative procedure authorized by DHS to examine documents.”

  2. A new checkbox is added ‘Check here if you used an alternative procedure authorized by DHS to examine documents.’ below the ‘Additional Information’.

Section 2 Reopen Case

When Section 2 is reopened, Section 1 and Section 2 should also be retaken as the form has been updated.

I-9: Section 3

For a previously completed I9 form, upon any document expiry, a Section 3 task is generated.

The system retains the old I9 form with Section 1 and Section 2 information and the new I9 form (2023-2026) is updated with Section 3 information.

The new I9 form displays empty Section 1 and Section 2 as they are updated in the older version.

Rehire Date, Last Name, First Name, and Middle Initial are updated to 3 places for each document.
