Abstract
Product: Workbench
Summary
Restrict Talent Record is a user privilege that limits user access to specific internal candidate information. If Restrict Talent Record is selected, the User Type affected can only access internal candidate data that is:
Associated with reqs to which the user is selected as Recruiter, Hiring Manager, or Req team member.
Associated with those working folders in which the user is an owner or member.
Associated with that user’s BrassRing Inbox.
Not associated with any reqs.
Restricted users can review full candidate information if it is forwarded to them by using email. The BrassRing user is restricted from accessing the following data that is associated with other reqs, working folders, and Inboxes to which they do not belong. This includes:
Resumes, CVs, and cover letters
Communications history
Codes
Candidate or req forms
eLink history
HR Status and HR Status history
Internal Candidate Limitations
There are limitations to the restricting of a user’s access to an internal candidate. A user might still access an internal candidate through the following areas of BrassRing:
Reports
Scheduling
File attachments
Icon display
Importing/ exporting data
Assessments
Candidate overview
Last codes display
User Types
Do not restrict the Quick Start user type. This would result in eLinks not displaying the necessary information.
The following User Type settings should be turned off to gain full benefit of the Restrict Talent Record feature:
Candidate Actions:
Attachments - View all
Candidate type - Update
Candidates - Erase
Import candidates forms - Export form template
Notes - All privileges
Attachments - Delete all
Export - ASCII or Excel
HR Status - add/updates in all folders
Import Candidate Forms - Import candidate form data
Search:
Search Employees
Subscript to others' saved searches
Security access group - Override resume security codes.
Reqs:
View All privileges (select My reqs privileges instead)
Relevant eLearning
Process
Activate Restrict Talent Record
Select Tools → Users → User Types.
Select the Edit Type permissions pencil icon for the User Type to edit.
Select the Candidate Actions set privileges icon.
Select Restrict Talent Record.
Select Done.
Select Save.
